Behind the Scenes: Producing One of Automotive's Largest Luxury Hospitality Experiences
Long before the first guest arrived, before the champagne was poured, and before a single yacht tender departed toward the Fort Lauderdale International Boat Show, our work had already begun.
For nine days, the Holman Hospitality Mansion would become home to the world's most prestigious automotive brands — welcoming more than 1,000 invited guests, dealership leadership, and OEM executives for one of the industry's premier luxury hospitality experiences.
But getting there started with something most guests never see.
Days before the event opened, a Bentley Bentayga, Aston Martin Vantage Roadster, and Rolls-Royce Phantom arrived by transport truck and were carefully loaded onto a barge destined for the waterfront estate. One by one, each vehicle had to be driven off the transport truck and positioned on the floating platform with only inches of clearance between the truck, the barge, and the water below. Timing was critical — once the tide shifts, the opportunity to unload at the mansion could disappear.
At the main boat show, the process became even more demanding.
The infamous Above & Beyond Collection (two twin Aston Martin Vanquishes) were lifted by crane sky-high above the docks before being lowered onto a narrow platform. After it’s confirmed the dock could safely support the weight, the cars were carefully driven from the crane and along the dock. Of course, guided by spotters with barely enough room for the mirrors to clear. Diver on the ready to monitor the structure beneath the dock while every movement was communicated, ensuring each vehicle reached its destination safely.
It's not the glamorous side of experiential marketing — but it's often the part that determines whether an event succeeds before the first guest ever arrives.
And that's only where this story begins.
Building the Hospitality Mansion
Finding the right venue is only the beginning. Identifying the perfect venue normally starts with mansion walkthroughs a year in advance. Then, transforming it into an immersive luxury brand experience is where the real work begins.
For 5 consecutive days, the private waterfront estate overlooking the Intracoastal Waterway became the Holman Hospitality Mansion — a destination where clients could step away from the energy of the Fort Lauderdale International Boat Show and enjoy a more intimate, personalized experience.
Every detail of the environment was intentionally curated. Guests were welcomed with chef-prepared cuisine throughout the day, handcrafted cocktails, premium coffee service, and wine tastings presented in partnership with Rombauer Vineyards.
Multiple indoor lounges were transformed into private consultation spaces where guests could configure an Aston Martin Valhalla alongside Aston Martin Q New York or explore bespoke commissioning opportunities with a Rolls-Royce Private Office designer.
Outside, luxury vehicles were carefully positioned across the estate to create striking arrival moments while maintaining a natural flow throughout the property. Every floral arrangement, furniture selection, menu, sign, and guest touchpoint reflected the standards expected from some of the world's most prestigious automotive brands.
This wasn't simply hospitality—it was an extension of each brand's identity.
Transforming the Mansion Every 24 Hours
Perhaps the most demanding aspect of the production wasn't building the mansion — it was rebuilding it.
Each day represented a different luxury brand. Rolls-Royce, Aston Martin, Bentley — each required their own identity, messaging, vehicle displays, signage, printed materials, menus, and branded environments.
Every evening after the brand cocktail receptions, preparations for the next day immediately began.
Vehicles were repositioned. Signage was replaced. Floral installations were refreshed. Lounges were reconfigured. Printed collateral changed. Catering timelines shifted. Executive schedules were updated. Photography and videography shot lists evolved to match each brand's priorities.
By check in the next morning, the mansion had transformed into an entirely new experience.
To guests, the transition appeared effortless.
Behind the scenes, it required meticulous planning, clear communication, and an experienced team capable of executing hundreds of details without disrupting the guest experience.
Creating a World-Class Guest Experience
Luxury hospitality is about more than beautiful surroundings — it's about making every guest feel as though the experience was created specifically for them.
From the moment invited guests checked in, they were welcomed into an environment designed to encourage conversation, discovery, and connection. They could enjoy breakfast, lunch, or evening cocktail receptions while networking with fellow enthusiasts, dealership leadership, and OEM executives.
For Aston Martin guests, the private Q Lounge offered an opportunity to personalize a future Valhalla alongside Aston Martin's Q Collection design specialists. Pair with a Glenfiddich private tasting in the lounge, it provides the perfect environment for those intimate conversations.
Separately, Rolls-Royce clients could experience the artistry of the marque through one-on-one consultations with a Private Office designer, exploring the limitless possibilities of bespoke commissioning. This was particularly unique for the few qualified clients invited to discuss the upcoming Nightingale project.
When guests were ready to continue their day, Denison Yachting tenders transported them directly to the Fort Lauderdale International Boat Show, strategically next to the Denison Yachting's exclusive exhibit — creating a seamless connection between the hospitality mansion and one of the world's largest luxury marine events. Their booth featured the 2025 co-created Aston Martin Vanquishes, Above & Beyond.
New for 2025, Bentley expanded its presence with a dedicated activation inside the SuperYacht Village, where invited guests could experience the brand through vehicle displays and private test drives.
Every touchpoint was designed with one objective in mind: creating an experience guests would remember long after the event ended.
Weather, Challenges & Last-Minute Changes
Large-scale luxury events rarely unfold exactly as planned.
Throughout the week, South Florida delivered heavy rain, strong winds, shifting executive schedules, and countless last-minute adjustments. Catering quantities had to be expanded with little notice, transportation plans shifted, and hospitality logistics adapted in real time.
At the same time, the production team operated within strict logistical windows for vehicle movements, vendor installations, and daily brand transformations. Missing a narrow wide to transform the mansion for a cocktail reception, or delaying overnight setup wasn't simply inconvenient — it had the potential to impact the following day's guest experience.
The ability to remain calm under pressure, solve problems quickly, and adapt without guests ever noticing is what separates successful experiential marketing from unforgettable experiential marketing.
When guests arrived each morning, they didn't see the challenges.
They simply experienced an event that felt effortless.
Results & OEM Recognition
By the end of 9 days, more than 1,000 invited guests had experienced the Holman Hospitality Mansion.
The event strengthened relationships with clients, created meaningful conversations between guests and OEM leadership, and generated exceptional visibility across social media — particularly surrounding Aston Martin's highly anticipated launch activities.
For Holman, the hospitality experience continued to reinforce its reputation as one of the industry's benchmark luxury retailers, earning recognition from multiple OEM partners and contributing to its standing as a best-practice dealership, including Rolls-Royce Dealer of the Year recognition.
